Executive Director:

Works alongside the Artistic Director in conceiving, developing, and implementing the artistic vision and focus of the organization, and supervises the company’s business departments. Supervises and has authority over all production activities of the theater.

  • Maintains 501(c) 3 status and files appropriate forms
  • Helps ensure that company abides by mission statement
  • Maintains and approves changes to company brand
  • Works with the Artistic Director and Treasurer to create company budget and production budgets
  • Secures insurance for performances
  • Works with Marketing Director to create company marketing and branding merchandise
  • Works with Artistic Director to hire all artistic personnel for productions
  • Ensures all rights to selected plays are contracted in a timely manner
  • Ensures contracts are signed within designated time periods for all artistic positions; actors, writers, directors. Artistic Director will follow up with artists to procure additional information, e.g. head shots and bios.
  • Works with Artistic Director to set dates and secure locations for productions pending Steering Committee approval
  • Works with Production Manager to create production schedule
  • Ensures professional memberships are kept up to date; TBA registration, TBA Awards etc.
  • Works with Grant Writer/Treasurer, Marketing Director, and Artistic Director to procure sponsorship for company
  • Manages all ticket sales through internet ticketing companies
  • Manages comp list and TBA Adjudicator list

Artistic Director

Works alongside the Executive Director in conceiving, developing, and implementing the artistic vision and focus of the organization, and supervises the company’s artistic vision. Supervises and has authority over all production activities of the theater. Ensures that the company maintains the artistic vision and goals established in the company’s Mission Statement.

  • Works with the Executive Director and Treasurer to create production budgets
  • Works with Executive Director to hire all artistic and production personnel for productions
  • Has the final say in the artistic vision of each individual show in a production
  • Approves poster/program for each production
  • Creates audition notices and sends to Outreach to distribute
  • Organizes and manages the talent pool and maintains talent database
  • Develops pool of artists; writers, actors, directors
  • Works with Executive Director to set dates for productions pending Steering Committee approval
  • Works with Marketing Director and Secretary in obtaining information from artists, including anything that will be used in any marketing materiel, programs, etc. E.g. Show descriptions, bios, and headshots. Will then provide this info to the Marketing Director.
  • Works with Grant Writer/Treasurer, Marketing Director, and Executive Director to procure sponsorship for company

Treasurer:

Ensures that the company stays within budget and provides basic bookkeeping.

  • Works with Artistic Director and Executive Director to create company budget and production budgets.
  • Manages all financial accounts.
  • Provides updates to Executive Director and Artistic Director as to where the company stands financially.
  • Participates in all fundraising events and tracks progress.
  • Works with Board to develop and implement long and short-term strategies for company financial development and fundraising
  • Responsible for all AP and AR functions in cooperation with the Executive Director.
  • Ensures that all paperwork related to finances is completed at least one week before due date
  • Files form 990 at the end of the calendar year.
  • Duties include check signing authority, expense reimbursement, credit card usage, and tracking petty cash.

Requirements:

  • Must have Quickbooks knowledge
  • Must be able to do basic bookkeeping for theater.
  • Must be willing to attend one monthly meeting (either by phone or in person) for the Steering Committee and one quarterly meeting (either by phone or in person) for the Board of Directors.

Grant Writer:

Helps to secure funding for the company

  • Works with the Executive Director to research all possible grants.
  • Works with granters to ensure that all paperwork has been filled out and returned to them at the end of the grant time period
  • Compose, send, and keep track of the proposals.

Requirements:

  • Bonus to have arts or theater funding background.

Secretary:

Maintains company records, including minutes and agendas.

  • Helps with creating company meeting agendas
  • Takes meeting minutes and distributes to other company members within 48 hours of meeting
  • Sends minutes of previous meeting 48 hours before each meeting
  • Manages OneDrive
  • Collects Audience Survey Forms from House Manager and inputs information into master survey form and notifies Marketing Manager when complete at the end each production week
  • Oversees the archiving of all press clippings, video clips, radio tapes and photo library as well as posters and post cards.

Marketing Director:

Researches the attitudes and opinions of the public as relates to the company and its offerings to create a marketing plan to further expand the company audience base.

  • Works with Executive and Artistic Director to clearly define projected audience and come up with clear, defined goals and strategy to increase audience attendance
  • Manages post card distribution through Theater Bay Area.
  • Works with Graphic Designer and Artistic Director on the design of each poster and postcard.
  • Orders posters, postcards and programs for each show from printers.
  • Works with Executive Director to create marketing and branding merchandise
  • Works with Production Manager, Outreach Director and Social Media Volunteer on production photos and ensures Social Media Volunteer and PR Director have correct photos for social media postings and press releases, websites and emails blasts.
  • Works with Social Media Volunteer to create promo videos for shows when applicable and ensures that Social Media Volunteer has them for social media postings.
  • Works with graphic designer for artwork.
  • Works with Outreach Director to manage promotional sales for shows.

Social Media Volunteer:

Works with Marketing Director and Outreach Director to ensure company updates and happenings are made public on social media.

  • Works with Publicity and Outreach Directors to organize and/or promote productions and fundraisers on social media.
  • Works with Marketing Director and Production Manager on production photos for social media posts.
  • Works with Marketing Director to create promo videos for shows when applicable for social media postings.
  • Posts audition notices, playwright notices, and other calls for submissions to social media.

Requirements:

  • Must have genuine interest or knowledge of the Bay Area theater community AND the LGBTQ+ community.

Outreach Director:

Is the conduit between the company and general public. Works with other departments to get notices out to varying audiences with regards to ongoing and upcoming events in the company

  • Finds local charities and industry partners to invite to invited dress rehearsal and preview nights.
  • Manages audience emailing list.
  • Manages company communications to audience base via email blasts.
  • Works with Marketing Director to facilitate relationships with patrons, community members, businesses, writers, actors, and directors to promote and build awareness of LCTC, its message, and future events/productions
  • Writes, edits, produces newsletters and other printed material.
  • Works with Marketing Director to creates the Audience Survey Form for the House and/or Stage Manager to place in programs and distributes during performances
  • (Works with Writing Workshop Director to develop and implement a plan to increase attendance at workshops)
  • Sends out /publicizes audition notices via email blasts and website postings.
  • Works with Production Manager to manage auditions, including: ensuring that notices have been sent/posted and inviting actors to callbacks.
  • Establishes and maintains audition signup and then provides to Artistic Director and Production Manager list on day of auditions.
  • Sends out email blasts for each show including when tickets are on sale, discount codes, etc.
  • Works with Artistic Director to communicate with LCTC Company members (directors, actors, writers) about auditions, submissions, and volunteer opportunities etc.
  • Coordinates the compilation of postcards for Theater Bay Area for their post card distribution with Marketing Director.
  • Works with Marketing Director to manage promotional sales for shows.

Publicity Director:

Seeks to gain awareness and positive image for company without an exchange of money, and to heighten awareness of individual productions.  Promotes specific productions, events, or services of the company, as well as serves as the contact person for all media inquiries.

  • Cultivates and maintains media contacts in order to generate relevant stories, interviews, and other media coverage for the company
  • Acts as main contact for all media inquires
  • Composes and distributes all press releases and calendar listings about productions
  • Coordinates press comp tickets
  • Creates and determines publicity/press relations plan to generate continued and increased awareness of the company
  • Supports any overall marketing initiatives
  • Examines the media for issues that affect the company
  • Solicits, arranges and organizes media interviews (print, radio, TV and online) for general stories about the company

Website Manager:

Maintains and updates the company website.

  • Maintains and updates the company\’s website
  • Posts audition dates and requirements on website

Writing Workshop Director: – suspended

Manages the company’s writing workshops.

  • Works with Artistic Director to generate interest in writing workshops and acting workshops

Production Manager:

Works closely with the Artistic Director and production staff to ensure that all elements of the production are implemented effectively and on schedule.

  • Manages production calendar and ensures all production deadlines are meet.
  • Manages auditions, including: managing the audition schedule at the auditions and working with directors on final casting with an eye for overall ease of production and efficient use of actor pool.
  • Works with directors and Production Assistant to ensure that all rehearsals have a designated space.
  • Works with Technical Director and Stage Manager to ensure all technical elements are ready for load in.
  • Creates and maintains production worksheets in OneDrive
  • Ensures with directors, Production Assistant and Technical Director that props, costumes and set pieces are collected by deadline.

Assistant Production Manager

Assists Production Manager and production team

  • Works with directors and Production Manager to ensure that all rehearsals have a designated space.
  • Manages poster distribution with company to ensure posters are distributed in the city.
  • Assists Production Manager with auditions and call backs: e.g. Flow of traffic and ensures that actors have sides, are checked in, and have filled out Audition Forms
  • Ensures that there are auditions forms to be filled out
  • Must be present at all auditions and call backs
  • Obtains set, props and costume lists from directors
  • Ensures that props, costumes and set pieces are collected by deadline
  • Works with Production Manager on creating show program

Technical Director:

Works with the Artistic Director, Production Manager, Directors, and Designers to ensure that all technical elements of a production are managed properly and adhere to the vision of the production and Company

  • Works with all designers to ensure that all technical elements are created on time and on budget.
  • Manages construction and acquisition of set
  • Ensures that all set pieces are acquired before load in.
  • Works with Production Manager and Stage Manager to ensure all technical elements are ready for load in.
  • Works with Stage Manager to facilitate production load in

Stage Manager:

Oversees the operations of stage and backstage crew during technical week and during the run of the production.

Prior to production opening:

  • Attends all rehearsals for a full length play
  • Attends at least one or two rehearsals for each play of an anthology production prior to full run through of show
  • Works with Technical Director and Production Manager/Assistant to acquire rehearsal props and set pieces as needed
  • Works with Production Manager and Technical Director to ensure all technical elements are ready for load in
  • Works with Production Manager to facilitates load in and load out
  • Coordinates the work of the stage crew
  • Oversees every performance of a production

During technical rehearsals/Show run:

  • Calls out cues and actors’ entrances and exits
  • Marks out the dimensions of the set on the stage
  • Organizes and facilitates all scene changes
  • Communicates to actors and crew their individual duties during scene changes
  • Creates and maintains a running list of scene changes and the responsibilities of those involved
  • Coordinates the opening of the theater each night with the House Manager
  • Ensures that all sets and props are set before house opens
  • Ensures all set pieces and props are properly stored away each night
  • Works with House Manager to ensure dressing room and house are cleaned each night
  • Ensures the space is properly secured each night (e.g. all lights turned off, all appropriate doors locked)
  • At load out, ensure all actors’ personal items are returned to them and that all company items are stored properly
  • Obtains audience attendance list, (Goldstar, Brownpaper Tickets, and other ticketing services) from Outreach Director

**Assistant Stage Manager:

Facilitates communication between the Stage Manager and the actors.  Ensures the safety of all members of the production.  Aids the Stage Manager with: opening the space, presetting all sets and props, scene changes, cleaning up and closing the space after each performance and other duties assigned for each show.

Directors:

Works with actors to create a performance that maintains the Artistic Directors’ vision of the production.

  • Interprets the script and works with playwright on any changes to the script (Any changes to script must be provided to the company and the Stage Manager as soon as possible)
  • Casts the script in cooperation with Artistic Director and Production Manager
  • Collaborates with designers on all technical elements of the script
  • Communicates with actors and Assistant Production Manager to develop a rehearsal schedule for each piece
  • Guides/blocks actors’ movements in their work during rehearsals and ensures pacing of play is in conjunction with the overall feeling of the production, as established by the Artistic Director
  • Communicates all technical needs (lights, sound ques) to the Technical Director, Production Manager, Stage Manager and Designers

Lighting Designer:

Creates a light design that will enhance the mood and feeling of the production in accordance with the vision of the Director and Artistic Director.

  • Meets with the Director and other Designers to discuss the Director’s vision of the script
  • Works with the other Designers to ensure the creation of a unified look and feel for the production
  • Attends any rehearsals necessary to see the blocking and layout of the set
  • Works with the Production Manager and Technical Director that all necessary work is done on time and on budget
  • Works with Production Manager, Technical Director, and Stage Manager to ensure that all instruments are efficiently brought to the theatre for load in and that all instruments are set up correctly during hang and focus
  • Creates a lighting plot for the production to which the rest of the Production Team may have access
  • Creates a cue sheet for the Board Operator
  • Works with board operator to ensure they are familiar with the look and timing of all light cues

Set Designer:

Creates a set design that will enhance the mood and feeling of the production in accordance with the vision of the Director and Artistic Director.

  • Meets with the Director and other Designers to discuss the Director’s vision of the script
  • Works with the other Designers to ensure the creation of a unified look and feel for the production
  • Attends any rehearsals necessary to see the blocking and any specific needs for set pieces
  • Works with the Production Manager and Technical Director that all necessary work is done on time and on budget
  • Works with Production Manager, Technical Director, and Stage Manager to ensure that all set pieces are efficiently brought to the theatre for load in

Costume Designer:

Creates costume design that will enhance the mood and feeling of the production in accordance with the vision of the Director and Artistic Director.

  • Meets with the Director and other Designers to discuss the Director’s vision of the script
  • Works with the other Designers to ensure the creation of a unified look and feel for the production
  • Attends any rehearsals necessary to see specific costuming needs
  • Works with the Production Manager and Technical Director that all necessary work is done on time and on budget
  • Works with Production Manager, Technical Director, and Stage Manager to ensure that all costume pieces are efficiently brought to the theatre for load in
  • Works with Stage Manager and Directors to coordinate pulling pieces from actors’ personal wardrobes when necessary/appropriate
  • Creates a costume plot for each actor/character so that each actor knows what they are wearing for each scene/piece
  • At load out, ensure all actors’ personal items are returned to them and that all company items are stored properly

Sound Designer:

Creates a sound design that will enhance the mood and feeling of the production in accordance with the vision of the Director and Artistic Director.

  • Meets with the Director and other Designers to discuss the Director’s vision of the script
  • Works with the other Designers to ensure the creation of a unified look and feel for the production
  • Attends any rehearsals necessary to get a feel for the timing and requirements for all sound cues
  • Works with the Production Manager and Technical Director that all necessary work is done on time and on budget
  • Creates a cue sheet for the board operator
  • Works with board operator to ensure they are familiar with the look and timing of all sound cues

House Manager:

Ensures the smooth operation of the house during the performance.  This duty will be filled by company members when possible.

  • Orients and trains all house workers
  • Ensures that the house is clean and all ticketing and concessions are set up before house opens
  • Ensures that the daily ticket sales sheet is given to the appropriate person at the end of each performance
  • Ensures that all audience opinion surveys are collected at the end of the performance
  • Makes the preshow speech regarding no cell phones, no photography, filing audience surveys, and any other pertinent information (e.g. emergency exits or house specific rules)
  • Ensures that the house is clean and all concessions are put away before leaving for the night
  • Obtains audience attendance list, (Goldstar, Brownpaper Tickets, and other ticketing services) from Outreach Director
  • Obtains the comp list and TBA Adjudicator list from Executive Director
